The executive board meeting was called
to order by FCSB’s president
Jan Campbell at 7:25 p.m. at the McKinnon’s home. Present:
Jan Campbell, Dick Lamb, Gunnar Lonson, Richard Ross, Monte Radeke,
Brian Lloyd, Neil Powell, Bill McKinnon; Absent: Mark Arya, Wendy
Weiss, Duncan Turner, Margie Yahyavi.
Members Forum (a.k.a. Open Mike Presentations):
There were no presentations at this meeting.
Review of Prior Month’s
Minutes:
There were no changes to the August 21 board meeting minutes.
Reports:
Finance Reports:
Margie Yahyavi distributed the October financial reports prior
to the meeting via email to the executive board members.
The following August financial reports were distributed and
reviewed at this meeting: Budget vs. Actuals; Accounts Receivable;
Profit & Loss; Balance
Sheet; Check Register.
Dick Lamb raised the concert that it appeared that due to the Summer
Cup tournament bringing in about $20,000 less than forcast and contributions
from charitable
organizations being down $10,000, FCSB was $30,000 behind budget projections
for annual income. Upon later discussion in the meeting, there is one
more
weekend of Club fundraising tournaments this Spring than was in the bugdet
and that may well make up half of this deficit. Dick was planning to
revise the budget and double check it so that we can be certain of what
shortfall
there is in income and then we can discuss how to address this issue.
Club Administrator’s
Report (Margie Yahyavi):
Margie distributed her September written report (see attached)
via email prior to the meeting. This report was reviewed
by the board.
Director of Operation’s
Report (Brian Lloyd):
Brian described the success of the Soccer Academy that he and
Neil Powel set up this fall to train pre-Club age players.
The program has
been
set up to
be entirely self funding and has been a great success. Gunner Lonson
said that he would review the liability release form that are used
for these
camps to
ensure that the are in the proper form to minimize liability exposure.
Dick Lamb wanted to express the board’s commendation to Brian and Neil
for their work in making this concept a reality.
Technical Director’s
Report:
Neil presented a written summary report (see attached) and elaborated
on many of the points.
Youth Soccer Coalition held a meeting this month after a two month
break. The allocation of soccer fields was agreed to and procedures
for using
SB City
College fields were reviewed to ensure that all groups were fulfilling
all the requirements for using this beautiful venue.
Action Items:
New Staff Position Proposal: Brian Lloyd had previously presented,
via email, a proposal to create a number of new staff positions
to cover
areas from
field lining, to field maintenance to large scale fundraising.
The main concerns raised about these proposals were that each
job be
structured so that Club
funds either in the form of credits or cash would not be spent
until after they were earned. The board consensus was that Brian
should
proceed with
his
plans as quickly as practical.
Jan Campbell was directed to write a letter of commendation from
FCSB to Megan Snell (from our GU18 White team) for making the
USA’s National U17 team.
Discussion Items:
North County Field payment issues had all been settled with James
Lang and so there was no further discussion of this agenda
item.
Coaching Coverage Procedure: Richard
Ross presented a well thought out proposed set of policy guidelines
to be used in
establishing
formal Club
policy in
order to to avoid or minimize player/parent concerns about
coaching coverage for
each team. Following this discussion, it was decided to have
Richard Ross forward his list of guidelines to the Club’s Policy Committee that is finishing
up work on revising the Club’s formal policies so that they could work
these into our established policy.

ADMINISTRATOR’S REPORT
September 28, 2003
OLD BUSINESS:
PLAYER REGISTRATION: We are now registering with CYSA online. We have registered exactly
275 players for the 2003-04 season. Registration
went fairly smoothly with the online system. The system is designed
to allow parents to register players online. We can explore the
pros and cons of that possibility prior to next spring.
SANTA BARBARA FOUNDATION: Grant awards will be announced September
30.
FALL SEASON HOME FIELDS: The condition
of La Colina fields has been reported as “poor.” Perhaps
more aggressive measures need to be taken to work these fields
into better shape. Brian is
discussing a bi-weekly field workday during league season, once monthly
thereafter. There were some initial problems at SBCC mainly due to
lack of communication regarding what can and cannot be done on the
turf. This has been addressed. One comment was received questioning
the safety factor of cemented goals at La Cumbre and the inopportune
positioning of a backboard.
FINANCIAL AID COMMITTEE: We have a continual need for approximately
$4000 for the 2003-04 season to meet our goal of assisting all families
who have financial need. No progress has been made at this time to
secure additional funding.

1. All rosters are set with good numbers
except GU11 Red – 12
players and still adding
2. Teams off to good start in League – Club has winning record – visit

3. Training schedules are up and running – reports are good – Matt
Winneke working with BU10, GU11 Red on Tuesdays
4. Jesus Landeros now working with BU10 and BU12 as an Assistant
coach (paid)
5. Kristen St. Claire working goalkeepers
very well – very
intense, educational sessions
6. Academy numbers at nearly 30 players
(see Brian’s report) – looking
to start new GU9 team in December
7. Coaches instructed to give all teams
and managers cover schedule for season – call me if problem
or not received
8. Meagan Snell (GU18 White) on U17 National team to play Russia
in 2 wks
