Review of Prior Month’s Minutes:
The
minutes for October’s meeting were approved after being amended
to include the discussion and vote not to provide monetary help for
Neil Powell’s visa application.
The minutes for
the December’s
meeting were approved after being amended to add that the board approved
a reduction in registration
fees for first year teams to $180 rather than the regular $360.
Reports:
Finance Reports:
The
following December financial reports were distributed to the executive
board by Margie Yahyavi via email and reviewed at this meeting: General
Ledger for December 2002; Balance Sheet as of December 31, 2002;
Profit and Loss Budget vs. Actual July through December 2002; Checking
Account Register for December 2002, Accounts Receivable Aging Report
for January 23.
Our accounts receivable from our teams are manageable at this time
but do require steady attention to keep them that way.
Club
Administrator’s
Report (Margie Yahyavi):
Margie
presented a detailed written report for January (see attached report).
When dropping off and picking up players for practice at UCSB we need
to remind all parents NOT to stop on the main road through campus.
Neil Powell and Janice Thomson volunteered to work with Charisse Baccus
to try to arrange an workshop on reducing ACL injuries.
Brian Lloyd said that he is working on revising the Club Player/Parent
Handbook for the March time frame.
Director
of Operation’s
Report (Brian Lloyd):
Brian
reported that he is working of developing several fundraising programs
both for the Club as a whole as well as for our individual
teams. Among these are:
An "affinity program" that
basically raises money through referrals from individual Club members
to businesses which pledge to
contribute to FCSB in return for the referral business.
A "National Script" program that is similar to "Von’s
script" except that the script is accepted at a much wider variety
of businesses. This program would be aimed specifically at individual
team fundraising. Brian would like to get this started by the end of
this seasonal year and really kick it into full swing next year.
Brian is putting
together a "cafeteria plan" for FCSB team
uniforms in which the individual teams can choose from among three
uniforms as well as a specific selection of sweats, bags, etc. This
approach will provide both a consistent look for our Club and flexibility
for the individual teams in planning their purchases.
The
Winter Cup Tournament was a big success with 82 teams participating
including two from Hawaii. The weather was perfect and there were
very few problems. Brian could not thank the tournament staff enough
for
their great work that made this tournament possible. The full financial
results will not be available for several weeks because it takes
that long for all the bills to come in.
Technical
Director’s
Report (Neil Powell):
Neil presented a detailed written report for January (see attached).
Neil was also excited about a company called Sport Teams Accommodation
that provides motel/hotel reservation services specifically aimed at
traveling teams like ours. They claim to be able to get the best prices
with reduced hassle for our individual teams. Neil suggests that our
teams try them out.
Youth Soccer Coalition Report:
Jan
Campbell reported that Cliff Lambert would like to do a holiday camp
for fundraising and is looking for help from the coalition to
put this on. The camp would be aimed at all ages and levels of play.
Brian Lloyd attended the last two meetings and will be participating
in future meetings as well.

ADMINISTRATOR’S
REPORT
January 21, 2003
OLD BUSINESS:
SECRETARY
OF STATE: Items #1 & #2 of Gunnar’s recommendation
were completed 12/18/02. I just obtained signatures for item #3 and
the form will be mailed in 01/22/03. Items #4, 5, & 6 will be
completed once we get the go-ahead from the Sec/State and the Franchise
Tax Board.
TAX
RETURNS: I spoke with John Snowball who reported he has everything
needed to file the tax returns.
SANTA
BARBARA FOUNDATION: Organizations will be notified of the status
of their request in February 2003.
USSF
GRANT: Notice
of Foundation’s
decision on the 2003 Grant Program will be given to applicants in
April of 2003.
LA
COLINA FIELD RESTORATION WORK: 6 to 10 yards of soil were dumped around the La
Colina field
in various spots on Thursday morning, December
12th. FCSB volunteers spread the dirt over the field on Dec. 13th,
14th & 15th. The field was worked on, rested and reopened January
13th.
FIELD
SCHEDULING: City Parks & Rec. officials took a look at the
fields in December and closed SBJH for rest during the winter break.
The SBJH fields are looking very ragged and although FCSB had practice
space at SBJH for the months of January and February, it was decided
to relocate for as many months as possible in order to let the fields
rest as much as possible. Brian contacted UCSB regarding field usage
during the winter months. The fields were available and we secured
practice fields at Rob Gym location for the months of January and
February. The rates are bit higher than the City’s rates however
we made the decision to pay the higher rates for the overall good of
the city
fields.
Brian is negotiating with UCSB for continued field useage at Rob Gym
(with lights) for the month of March and then moving to Storke for
April and May. Field scheduling will continue to be problematic for
FCSB due to the fact the city schedulers are renting hodge-podge field
space to any user group. Brian and I agree that immediate attention
needs to be given to exploring alternative field possibilities.
INVESTMENT
ACCOUNT: Refer to Brian & Dick for any update.
STORAGE
UNIT: I have received no further word on the storage unit.
CLUB-WIDE
PARENT SURVEY: Wendy Weiss has volunteered to work with
Dick and/or Brian on a parent survey.
NEWSLETTER: The club newsletter fell along the wayside this year but
is ready to be revived. Any board member or team who would like to
submit a newsletter item should contact me early next week.
NEW BUSINESS:
ACL
PREVENTION WORKSHOP: I spoke with Charisse Baccus, our fitness
trainer, regarding the feasibility of putting together an ACL prevention
workshop aimed at educating parents and players alike. She is very
interested in putting together such an event. I need a volunteer to
organize this event.
MANAGER
HANDBOOK: I am in the process of reworking a manager handbook
for new and returning managers.
