1994 FC Santa Barbara Board Minutes

June 30, 1994
The meeting was called to order by Co-President Blair Spaulding at 7:40p.m. at the home of Cam Camarena. Present: Blair Spaulding, Karen Ribbens, Brian Hersh, Bill McKinnon, Carolyn Binkley, Cam Camarena. Absent Mark Fredrickson, Dan Ribbens, John Isham, Pam Price.

NOTICE TO ALL TEAMS: The following two items (Team Registration and ECRSL Mandatory General Membership Meeting are very important!!)

Team Registration: Karen Ribbens had received and distributed the Fall season registration packets. She would like to receive as many of the completed registration forms, cards, pictures, registration money, etc. back as possible by July 11. (In addition to the league registration fee, there must also be a check to our local FCSB club for $13.00 per player to cover game day field charges and associated local expenses.)

Mandatory ECRSL General Membership Meeting: Attached is a notice of ECRSL's general membership and Fall scheduling meeting. This meeting is held to begin the scheduling process for the 1994-95 Seasonal Year and each team must be represented. This is when the Gold, Silver and Bronze divisions are made and the general schedule format is decided upon. Karen Ribbens will see that each team has the "scheduling form" referred to in the attached notice.

Game Fields: Karen Ribbens is applying for the necessary certificate of insurance for each of the fields which we might be using for home games on either Saturday or Sunday.

We could still use a new board member to be exclusively in charge of game and practice fields. If anyone knows of someone who would be willing to do this, please let one of the board members know.

Practice Fields: Nothing new to add here from the last meeting. We will be meeting with the Las Positas organizers in early July to finalize our schedule with them.

Next Meeting: The next board meeting will not be until after the previously mentioned ECRSL General Membership meeting on July 27, 1994, at 7:00 p.m. at #1 GTE Place, Thousand Oaks.

Adjournment: The meeting was adjourned at 9:00 p.m.

June 15, 1994

This was a previously unscheduled meeting of the team managers and the board which was called in order to get registration data and money for the fall teams themselves (not the players for the teams).

The meeting was called to order by Co-President Blair Spaulding at 7:20p.m. at his home. Present: Blair Spaulding, Karen Ribbens, Mark Fredrickson, Dan Ribbens, Brian Hersh, Bill McKinnon, Carolyn Binkley, Judy Hug, Joe Bruzzese, Grace Riggs, Jill Link. Absent John Isham, Pam Price.

Team Registration: Karen Ribbens had each of the team managers fill out the El Camino Real Soccer League's (ECRSL) "team information form" which simply identified the coach, manager, and age group. She also collected the ECRSL registration fee for the first eleven players for each team. The following evening, Karen was taking this to an ECRSL registrar's meeting so that the league registrar would prepare a team registration package for each of our teams. Karen expects to receive these packets around June 27.

Game Fields: We have received approval from the City of Santa Barbara to use Dwight Murphy Field for our Saturday games. Santa Barbara City College will be using the field on three of these days but that was not seen as a problem. The city just needs to get our exact schedule as soon as we can get it to them.

Mark Fredrickson plans to meet with Norris Fletcher concerning the use of Bishop Diego for any games scheduled on Sunday. Specifically we need to know the earliest that a game can be played there.

We could still use a new board member to be exclusively in charge of game and practice fields. If anyone knows of someone who would be willing to do this, please let one of the board members know.

Practice Fields: We met with the City Schools for their fall annual practice field scheduling. We received permission to use La Colina on Tuesday, Wednesday and Thursday from 3:30 to 6:00. We also arranged to get Franklin School on Tuesday and Cleveland School on Thursday. We will be meeting with the Las Positas organizers in July to finalize our schedule with them.

Fundraising Note: Jill Link said that she would get the information on the "Vons script" program. Also, Sam Tyler was mentioned as being interested is helping do fundraising.

Next Meeting: The next board meeting will be held on June 30 from 7:30 to 8:30 p.m. at the home of Cam Camarena, 209 Vereda Leyenda, Goleta, CA 93111

Adjournment: The meeting was adjourned at 9:30 p.m.

Minutes taken by Bill McKinnon

May 5, 1994

The meeting was called to order by Co-President Mark Fredrickson at 8:00p.m. at the home of Dan & Karen Ribbens. Present: Mark Fredrickson, Blair Spaulding, Dan Ribbens, Brian Hersh, John Isham, Bill McKinnon, Carolyn Binkley, Karen Ribbens, Cam Camarena. Absent Pam Price.

Team Status Information: Each teams registration and practice status was discussed. Most of the teams were in pretty good shape. The two areas needing the most help were as follows.

The under-16 boys team was in need of some direct organizational support from the Club to get a the team chosen and registered. Dan Ribbens was going to talk to the under-16 players following a scrimmage with his team the next day. Blair Spaulding volunteered to act as interim team manager to help with registration details until a parent from the team could take over. Finally the Club board as a whole was going to make sure that uniforms were ordered for this team along with all of the other teams.

A boys under-19 team remains a possibility but we will have to wait and see. Dennis Marable would be the coach if this team is actually formed. The players who had previously been traveling to Ventura to play might be interested in playing on this team.

The under-15 girls team had suffered from some misinformation (spread by persons outside of our Club) concerning players eligibility to play on a Club team and a high school team. Several members of the team had quit as a result of this incorrect information.

Practice Fields: More of the teams are practicing at Las Positas as time becomes available. Pam Price is coordinating field availability until another person can be found to do this as their primary Club job. There was concern that we needed to have as

many teams as possible using the fields at the same time to minimize costs.

Pam Price and Blair Spaulding are continuing efforts to acquire land and finances to establish our own Club fields for the future.

Uniforms: Cam Camarena reported that the Umbro uniforms which his team purchased and used at a recent tournament were not entirely satisfactory. Also there was lack of delivery of some promised Umbro samples. As a result the Club made a final decision to go back to the previous choice of Hummel for our uniforms. Karen Ribbens was going to get samples for sizing, get each of the teams to tell her their order, and place the combined order within one week.

Club Wide Parent, Player, Coaches Meeting on May 16: As previously scheduled, the Club's annual meeting for ALL players, parents and coaches will be held on Monday, May 16 from 7:00 to 8:30 in the La Cumbre Middle School cafeteria. An agenda for the meeting including speakers for each section was developed during this meeting and recorded by Mark Fredrickson.

Carolyn Binkley was tasked to invite the various local media to this meeting. Carolyn also volunteered to try to get someone(s) to organize some refreshments.

Open Board Positions: We still need new members for field manager/coordinator, volunteer coordinator and fundraising help.

Club Charter: Brian Hersh had prepared and brought the latest working copy of the "Charter of the Football Club of Santa Barbara". Because of the late hour, however, review of this document was postponed until the next meeting.

Next Meeting: The suggestion was made that the team managers should be invited to the next meeting. However, no one was tasked to do this. The next board meeting will be held on Thursday, May 26 from 7:30 to 9:30 p.m. at the home of Blair Spaulding, 345 Arboleda, Santa Barbara, 93110.

Adjournment: The meeting was adjourned at 10:30 p.m.

April 14, 1994

The meeting was called to order by President Mark Fredrickson at 7:55 p.m. at the home of Carolyn Binkley. Present: Mark Fredrickson, Dan Ribbens, Brian Hersh, John Isham, Pam Price, Bill McKinnon, Carolyn Binkley, Cam Camarena. Absent: Karen Ribbens.

Practice Fields: Some of the teams were still having trouble finding practice fields to continue their tryouts and for general practice. Fairview School field has now been signed out to F.C.Santa Barbara from 4:00-6:30 from now through December. We are hoping to be able to work out an arrangement with Las Positas Park so that we can use those fields as well although they will be closed during June and July. Pam Price (569-0319) has volunteered to be the interim field coordinator until we can find a permanent person for this position. If anyone knows of someone who would like to take on this responsibility on a longer term basis, please let one of the board members know.

Uniforms: The samples of the uniforms originally chosen turned out not to be satisfactory due to color mismatches between the shorts and the jersey. Therefore, a new uniform by Hummel was chosen and samples are being requested. The chosen uniforms do not come in youth sizes (adult extra small is the smallest) and appear to run large. Therefore, the youngest teams (under 10 and under 9) may have to use a different uniform but the same colors (red and black with some white).

Sponsorships: The following suggestions were made. Sponsoring an individual player will cost $250 for one year (the player will be expected to pay a minimum of $50 additional). The suggested amount for sponsoring a team will be $2,000 (although obviously other amounts will gladly be accepted). A sub committee on sponsorship was formed with Brian Hersh, Carolyn Binkley and Pam Price to develop the letters and plan for moving this area forward.

Reviewed the Status of Each Team: The status of each team was discussed in regards to coaches, players and fields. Although some problems were noted and action items taken to improve the situation, the majority of new teams are moving ahead well.

Treasurer's Report: John Isham presented the treasurer's report which showed that we need to start collecting registration money to pay back advances which the Club has received from individuals. John also prepared a one page handout for the team managers or coaches on how to handle team money. Copies of this will be given to each of the teams (one is attached to these minutes as well).

Club Wide Players/Parents/Coaches Meeting: F.C. Santa Barbara will be holding its annual membership meeting in early May. Mark Fredrickson will find a building in which to hold the meeting (may have 300 people). Brian Hersh and Cam will work on the agenda.

Next Meeting: The next board meeting will be a combined meeting with all of the team coaches, assistants, and managers. The meeting will be held on Monday April 25 from 7:00 to 9:30 p.m. at the Good Earth Restaurant in Goleta on Calle Real near Fairview.

Adjournment: The meeting was adjourned at 10:00 p.m.

March 29, 1994

The meeting was called to order by President Mark Fredrickson at 7:50 p.m. at the home of John Isham. Present: Mark Fredrickson, Dan Ribbens, Brian Hersh, Cam Camarena, John Isham, Karen Ribbens, Bill McKinnon, Carolyn Binkley, Ernesto Diaz, Fernando Rodriguez, Tom Gottwald. Absent: none.

Tryouts: The tryouts held over the last two weekends were a tremendous success. Over 200 new players came out. The coaching staff was very well received. The weather could not have been better on the two days and the overall experience was positive and exciting.

Game with German Team: The game between the F.C. Santa Barbara team coached by Dan Ribbens and a team from Dortmund, Germany was also well attended. The final score was 0 to 0, and the game was exciting! After the game Dan's team hosted the German team and their 70 parents and relatives to a tri-tip barbecue on the beach. Everyone had a great time. The Dortmund Club plans to send a different team here again next year. Santa Barbara was their favorite stop. In addition, the Dortmund Club would like to host a team from Santa Barbara to go to Germany for 2-3 weeks next year.

Coaches Corner: Each individual team is now conducting additional practices and scrimmages prior to selecting players to be signed for that team. Cam Camarena made the suggestion that coaches should limit their teams to 15 players so that they would have room to add players if an outstanding prospect came up later on. The maximum limit is 18 players.

Age Groups: Players who are under-14 or younger are expected to play within their age group unless all involved coaches and parents agree to a different arrangement.

Need Pink Forms for all players who are trying out. Many of the teams have attracted additional players to their individual tryouts. Each coach needs to be sure that he gets one of our pink tryout forms filled out and signed by the player's parent. Brian Hersh would like to receive a copy of this filled out form. This form provides the medical release needed before a player is supposed to practice with the team. Brian Hersh will be sending each coach a packet containing several of these forms (see below).

Coaches Packet: Brian Hersh is sending out a coaches packet to each coach which contains the following material.

* Filled out pink tryout forms for all the players on that team who

filled one out at one of the first two tryouts (you should have these

with you at all practices since they contain the medical release).

* Blank pink tryout forms for any players without them (see above).

* Evaluation forms

* Minutes of the last F.C. Santa Barbara board meeting

Registering Player's for the Fall: To register a player, the following items are required (listed in order of difficulty obtaining)

* original birth certificate from the county government where the

player was born;

OR

a valid passport

* a check for $150.00 (accepting less initially should be handled on a

a case by case basis)

* three small (1-2 inches maximum) COLOR pictures

* filled out registration form with player's signature and parent's

signature in two places

* player's signature on a gray player ID card

Registering Coaches/Administrators: There is no cost to register a coach or administrator. Just fill out an administrator's form and have the individual sign it. Each team should have three coaches and/or administrators, because if a coach gets red carded and there is no other registered administrator present, then the game is terminated.

Registering Player's for the Spring: A player who is not currently registered and wishes to play before July 1 would have to pay $20 to register just for that period.

Team Account: Teams which do not want to set up their own "non-profit" accounts should contact the Club Treasurer, John Isham (964-8562) who can arrange to keep track of your team's money for you.

Practice Fields: For the moment, coaches are on their own in finding practice fields. However, the club is working on arranging for practice fields in the hopefully not too distant future. The Board is currently looking for someone to be solely dedicated to this effort.

Commitment Agreement: At the last meeting Cam Camarena said that he would work up a player "commitment agreement" to be signed by each player/parent to try to minimize misunderstandings. This item was inadvertently not discussed.

Club Wide Meeting: F.C. Santa Barbara will be holding its annual membership meeting on Monday evening, April, 25 from 7:00 - 8:30 p.m. The location has not been determined but it will be indoors. Mark this date on your calendars.

C.I.F. Rules: Because of C.I.F. rules Cam will be stepping down from an official organizational roll in the club. Dan Ribbens will officially be handling the head coaching duties.

Under 17 Girls Team: Mark Fredrickson is going to check with the league to find out if they are planning to have an under-17 girls division. Tom Gottwald particularly wants to know.

Next Meeting: The next board meeting will be on Thursday, April 14, from 7:30 - 9:30 p.m. at Carolyn Binkley's house, 4553 Auhay Drive, S.B., 93110.

Adjournment: The meeting was adjourned at 10:20 p.m.

Minutes taken by Bill McKinnon

March 10, 1994

The meeting was called to order by President Mark Fredrickson at 8:10 p.m. at the home of Cam Camarena. Present: Mark Fredrickson, Dan Ribbens, Brian Hersh, Cam Camarena, John Isham, Bill McKinnon, Carolyn Binkley. Absent: Karen Ribbens.

Tryouts: Mark Fredrickson had a call into Cliff Lambert with the City of Santa Barbara concerning the flyer distribution to the Santa Barbara elementary schools and getting back a Spanish translation to be used on the second side of the flyer. Mark was also asked to see if Cliff could have the flyers distributed at the public junior high schools all of which are part of the Santa Barbara High School District. Carolyn Binkley said that if she did not have the Spanish translation by Sunday, that she would go ahead and distribute the English only version to the Goleta elementary schools at the beginning of the week. Otherwise, the flyers would not be in the Friday folders the week before the tryouts.

The fact that private schools were not being covered by the flyers was pointed out. It was decided that as many of them as possible should be covered. Dan Ribbens said that he had players who attended a couple of these schools and could perhaps get them distributed through them.

The newspaper add was going to be placed the next day Friday, March 11, to be run on Saturday and Sunday, March 12-13, and Friday March 18. Part of F.C. Santa Barbara's portion of the add cost (approximately $350) was going to be advanced from Cam Camarena's team registrations funds which do not yet have to be turned into the league.

A total of six card tables were volunteered for use at the tryouts (two each from Cam Camarena, John Isham & Mark Fredrickson). Bill McKinnon promised to prepare forms to be used for listing all people trying out for each age group.

All coaches and volunteers were to arrive one hour early for the first tryout on Sunday, March 20 at Bishop Diego High School. That tryout starts at 1:00, therefore, people will be arriving at 12 noon. Cam Camarena reported that the coaches were all set with what they were planning to do. However, they could use all the cones and flags that anyone had. Bill McKinnon promised to bring 12 large cones, 25 small ones and 8 flags. Dan Ribbens promised to bring the 4 club flags and the nets in case we decide to set up the goals. Also any of the team banner's should be brought just to make things more colorful.

The need for more volunteers to man the sign up tables was discussed. This would free up the board members to be available for answering questions particularly from parents. Cam Camarena promised to find a Spanish speaking volunteer to help with any parents/players who only speak Spanish.

Brian Hersh promised to prepare a "most frequently asked questions (with answers)" handout to be given to everyone who shows up. A copy of this will be mailed out by Bill McKinnon with a copy of the minutes either Monday evening or Tuesday morning. If there are problems with it, please contact Brian Hersh so that they can be corrected before the tryouts on the following Sunday.

The suggestion of using stick on labels to identify the players, coaches and volunteers was suggested and decided to be a good idea. However, it was not decided who was going to see that this happened. (Mark Fredrickson should probably see that someone does this?).

Non Profit Status: Brian Hersh and Cam Camarena had planned to attend the workshop on this subject at the CYSA South annual general meeting on Saturday, March 12 (workshop at 5:00 p.m.) to be held at the Industry Hills Sheraton Resort and Conference Center. They also planned to attend the vendor show which runs from 9:00 a.m. to 6:00 p.m. However, a scheduling conflict makes the vendor show impossible for them to get to and, therefore, they were wondering whether it made sense to go just for the workshop.

List of Volunteers: We decided that we should start this from scratch. At the tryouts, Bill McKinnon will prepare sign up sheets for volunteers to help with team managing, phoning, fields and equipment, coaches assistants and "other".

Club Logo: Brian Hersh is currently working on this.

Warm-up Suits for Coaches: Cam Camarena thinks he has found some for about $40 at Big 5.

Letter to Sponsors: Will be worked on at our next meeting. Brian Hersh and Cam Camarena will propose a first version of this.

Practice Fields: No new action.

Commitment Agreement: Cam Camarena will work up a player "commitment agreement" to be signed by each player/parent to try to minimize misunderstandings.

Central Coast considering a youth league: Cam Camarena reported that the Central Coast League was considering starting a youth league. Cam said that he was working with them to try to ensure that they would cooperate in encouraging their best players to play for F.C. Santa Barbara where their talents could be properly showcased for the player's own benefit (e.g., Olympic Development Program and college scholarships).

Next Meeting: The next board meeting will be on Tuesday, March 29, from 7:30 - 9:30 p.m. at John Isham's house.

Adjournment: The meeting was adjourned at 10:15 p.m.

Minutes taken by Bill McKinnon

February 22, 1994

The meeting was called to order by President Mark Fredrickson at 7:20 p.m. at the home of Dan and Karen Ribbens. Present: Mark Fredrickson, Dan Ribbens, Brian Hersh, Cam Camarena, Karen Ribbens, Bill McKinnon, Joe Bruzzese, Thomas Gottwald, Victor Dogart, Jose Lopez. Absent: John Isham, Carolyn Binkley.

Board officially voted in: The FCSB board (see attached list) was officially voted in by acclamation.

Tryouts: The tryout dates have been set for Sunday March 20, 1994, 1:00 - 3:30 at Bishop Diego High School and Saturday March 26, 1994, 8 - 10:30 at Dwight Murphy Field. The fields have been reserved for these dates and times. Jose Lopez pointed out that he thought the Bishop Diego baseball field will have a fence set up which extends through the middle of the soccer field.

Carolyn Binkley and Brian Hersh are doing the publicity for the tryouts. The tentative plans call for flyers in both Spanish and English being sent to all the schools and placed in sports stores and other areas where potential players would see them. Also Cam Camarena is planning to get an article written up in the S.B. Newspress as well as get interviewed on local radio and TV stations.

Practice Fields: The need for additional (and perhaps better) practice fields than we currently are using was discussed. The desire to try have as many of the teams as possible practice in the same (perhaps two) locations was expressed. Possible sites mentioned were Dos Pueblos, La Colina, Fairview and Hollister. Brian Hersh plans to talk to Dick Shelton, Goleta Schools Superintendent, about the possibility of cooperating with us in renovating Fairview School's fields which are now in sad shape. Mark Fredrickson was planning to check with the City of Santa Barbara about their fields.

Fundraising: Jim Acos, a parent from Joe Bruzzese's under 11 team dropped by to describe a fundraiser based on selling long distance telephone call "coupons" from a local company, WCT. The under-11 team had tried this last year and it worked well for them. The return to the club was 25 cents for every dollar sold. The idea was referred to Brian Hersh for further consideration.

Coaches Meeting: The board meeting transitioned into an informal coaches meeting. The coaches present were Cam Camarena, Joe Bruzzese, Dan Ribbens, Tom Gottwald, Victor Dogart, and Jose Lopez. Cam Camarena (FCSB's head coach) described how we were transitioning the club from a group of independent teams into a strong club with a unified coaching philosophy which attracts the best coaches. The coaches will be expected to work to improve their coaching ability by attending clinics and being instructed by the club's head coach. The strong set of coaches will in turn attract the best soccer players.

Cam Camarena is planning to put together a coaching manual as part of his program.

Adjournment: The meeting was adjourned at 9:40 p.m.
